WhatsApp repair reporting for letting agents

With Voxa Estate, tenants report a repair on WhatsApp, and it reaches your team as a job in a shared inbox, not as a chat on one person's phone.

Book a demo How Voxa Estate works

In short
  • Tenants message one WhatsApp number, from the mobile on their tenant record
  • Alex works out the trade and the urgency, and files a job
  • Your own contractors are asked first, by phone where your agency switches this on, then by text message and email
  • Nothing is booked unless a person approves it, or a rule your team has set allows it

How a tenant reports a repair

The tenant sends a WhatsApp message to Voxa's shared repairs number, with a photo if they have one. Alex matches them by the mobile number on their tenant record, so the report lands against the right property.

A message from a number that is not on a tenant record is not filed as a job, so keep tenants' mobile numbers up to date.

Alex turns each message into a job

Alex reads the report, works out the trade and how urgent it is, and files it as a job in your inbox. Your team sees every open repair in one queue, can assign it and can see what is waiting on whom.

Your team can also log a repair itself, for example one a tenant phoned in, and it joins the same queue.

Your contractors first, and your approval

When your team starts sourcing, Alex can phone your own contractors first, where your agency switches this on. It follows up by text message and email, and chases them for a quote and a time.

Nothing is booked unless a person approves it, or a rule your team has set allows it. Where you have agreed rates with a contractor, each quote shows how it sits against them.

What is sealed in the record, and what is not yet

When a job is closed, it is sealed into the property's record: linked to the entry before it and date-stamped by an outside service.

Contractor messages and quotes are not sealed into the record yet.

Good to know before you start

  • UK tenants message Voxa's shared WhatsApp number. A WhatsApp number of your agency's own is not available yet.
  • Tenants report on WhatsApp today. Text, email and phone lines for tenants can be switched on during setup.
  • Agencies in Ireland can join as a pilot, but the shared WhatsApp number is for UK tenants only.

Questions agencies ask

Do tenants need to download an app?

Only WhatsApp. Tenants message Voxa's shared repairs number from the mobile number on their tenant record.

Can we use our agency's own WhatsApp number?

Not yet. UK tenants message Voxa's shared WhatsApp number.

What happens to a message from a number Alex does not know?

It is not filed as a job. Alex matches tenants by the mobile number on their tenant record, so keep those numbers up to date.

Does Alex book contractors on its own?

No. Nothing is booked unless a person approves it, or a rule your team has set allows it.

Can tenants report by email or phone?

WhatsApp is the tenant channel every agency has today. Text, email and phone lines can be switched on during setup, and your team can log a repair a tenant phones in.

How much does it cost?

£1.50 per unit per month, with a 30-unit minimum. Team seats and landlord client portals are included.
